A better way to work with a marketing partner.
This is exactly what happens when you work with Plumbing & HVAC Lead Rescue: what we ask, what we build, what we need from you, and how you’ll know it’s working.
Hiring a marketing agency shouldn’t feel like handing over your credit card, sharing a few passwords and hoping something good happens. If you’ve done that before, you probably got a monthly report full of clicks and impressions and still couldn’t tell whether the phone rang any more than it used to.
You deserve to know what you’re paying for, what happens next, who’s responsible for what, and how the work connects to actual business results.
At Plumbing & HVAC Lead Rescue, we take a structured approach to building and managing your marketing and follow-up system. That means understanding your business before recommending anything, getting the right pieces in place, and making sure the whole system works together.
Here’s what working with us actually looks like, in five parts. (If you want to dig into a specific channel first, we’ve got plain-language guides to SEO, Google Local Services Ads and what makes a website convert.)

Part 1: We Start by Understanding Your Business
Before we touch your website, launch an ad or set up an automation, we need to understand how your business operates and where you want to go. Once you become a client, we’ll schedule an onboarding and strategy session to dig into the details.
We’ll want to understand:
- Where your business is today and where you want it to be.
- Which services bring in the most revenue and profit.
- Which towns and communities you want to serve.
- How many trucks and techs you have on the road.
- How many new calls and quote requests you get.
- How quickly your team responds to new inquiries.
- How quotes are followed up and how jobs get booked.
- What’s working with your current marketing, and what isn’t.
We’ll also look at your existing website, your Google presence and how customers get followed up today.
Why does this matter?
Because more leads aren’t always the answer. If you’re already getting calls but missing jobs because nobody follows up, spending more on ads just creates more waste.
We’ve seen how common this is. When we called 191 HVAC companies across Southern Ontario during business hours, 56 didn’t answer live, and 34 of those never called back. That study was HVAC-only, and it doesn’t tell us how many of those calls would’ve become jobs. It does show how easily a call goes nowhere, even at good companies.
On the other hand, if your team is great at turning calls into booked work but the phone isn’t ringing enough, the work starts with getting you found. Either way, we want the whole picture before we decide where to focus.
Part 2: We Build a Plan Around Your Business
Not every plumbing or HVAC company needs the same things. Some shops need to get more out of the calls and customers they already have. Others need better visibility on Google, a website that gets people to call, or a steadier flow of new inquiries.
Our approach brings together three important parts of business growth:
| Area | What it does | What it can include |
|---|---|---|
| 1. Generate demand | Gets your business in front of more of the right local homeowners | Website design and pages built to get calls, SEO, Google Maps and local search, Google Ads and Local Services Ads, landing pages for specific services |
| 2. Capture and convert opportunities | Makes sure calls and inquiries don’t disappear because nobody answered or followed up | Missed-call text-back, fast replies to new inquiries, automated quote follow-up, past-customer follow-up, review requests, tracking where every call, quote and job stands |
| 3. Measure and improve | Shows what’s working, where jobs are slipping through and what to fix next | One central view of where leads come from, how many you’re getting, how many get followed up, which quotes become booked jobs, and where your marketing money is paying off |
Your plan is based on your business, your goals and the services included in your agreement. We don’t believe in selling every contractor the same bundle of services.
Part 3: We Get the Foundations in Place
Once we’ve agreed on the plan, we move into technical onboarding. This is where we gather the access, information and assets needed to get everything working. Depending on your services, we’ll coordinate access to the accounts below, and collect the information that helps us represent your business accurately.
Access we’ll coordinate
- Your website and domain.
- Your Google Business Profile.
- Google Analytics and Search Console.
- Google Ads and other advertising accounts.
- Your existing CRM or field service software.
- Your customer list.
- Your phone number and phone system.
Information we’ll collect
- Company branding and logos.
- Service areas and the services you offer.
- Company information and contact details.
- Photos and existing marketing materials.
- Customer testimonials and reviews.
- Relevant service and pricing information.
If you’re using Jobber, ServiceTitan, Housecall Pro or another field service platform, we’ll work out what information and integrations your setup needs.
We don’t just collect logins and assume everything works. We verify the important connections and flag anything that needs fixing before we move forward. Sometimes that means a little detective work, like figuring out which long-forgotten email address your Google Business Profile is tied to.
Part 4: We Build, Implement and Get Things Running
With the strategy and technical foundations in place, we start building and implementing your system. The work depends on your agreement, but it may include four areas: your website, your search visibility and ads, your lead management and follow-up, and your tracking.
Your website and online presence
If website work is part of your plan, the goal is a site that makes it easy for a homeowner to understand what you do and get in touch. That can include:
- A website that works properly on a phone.
- Clear service pages and calls to action.
- Quote request forms and tap-to-call buttons.
- Page layouts built to turn visitors into calls.
- On-page SEO and local search basics.
Search visibility and advertising
We put the marketing in your plan to work so you show up when people are actively looking for your services. That may include Google Maps, SEO, Google Ads, Local Services Ads and other advertising you’ve approved.
Lead management and revenue recovery
We set up Mission Control, our customer management system, to handle new inquiries and keep follow-up moving. Depending on your plan, that can include:
- Missed-call text-back.
- Fast, automatic replies to new leads.
- Quote follow-up.
- Past-customer follow-up.
- Automatic review requests.
- Tracking every lead and quote.
Tracking and reporting
We set up the tracking needed to see activity across your marketing and your follow-up. The goal is to move past clicks and impressions and get a clear picture of calls, inquiries, quotes and booked work.
We don’t turn everything on and walk away. We test the important pieces, make sure they’re working properly and fix any problems before we consider setup complete.
Part 5: Launch, Communication and Ongoing Improvement
Once everything’s built and tested, your system goes live. But launch isn’t the finish line.
Marketing needs ongoing attention, and your business will change over time. We monitor performance, look for what to improve and adjust the work based on what the numbers show.
You should always have a clear understanding of:
- What’s been completed.
- What we’re working on now.
- What’s performing well.
- Where we see room to improve.
- What we need from you.
We’ll review performance with you and talk through priorities as we go. The point is keeping the work tied to your business goals, not just keeping a to-do list of marketing tasks moving.
What We Handle vs. What We Need From You
A successful partnership needs both sides doing their part. Here’s how the work splits:
| Plumbing & HVAC Lead Rescue handles | Your team handles |
|---|---|
| Marketing strategy and the work itself | Providing accurate business information |
| Website and SEO work (where included) | Sending the photos and materials we ask for |
| Ad management (where included) | Approving ads and content |
| CRM and automation setup | Answering incoming calls and inquiries |
| Lead tracking and reporting | Following up with customers and quotes |
| Ongoing improvement | Telling us what’s happening in the business |
One important distinction: marketing can make the phone ring, and a good system can make sure new leads get followed up. But your team still has to answer the phone, talk to customers and do great work. No software has ever run a service call.
We’re responsible for building and managing the system. Your team is responsible for working the opportunities it creates.
How to Evaluate a Marketing Partner
Whether you decide to work with us or someone else, you should know what to ask before hiring a marketing agency. Here are six questions worth asking:
- Do they take time to understand my business before recommending services?
- Can they explain exactly what’s included in my agreement?
- Will I know what’s being done and when?
- How will they track calls, inquiries and actual business opportunities?
- Who’s responsible for following up with new leads?
- How will we know whether the investment is working?
A good marketing partner doesn’t hide behind jargon, confusing reports or vague promises. You should know what you’re paying for, what’s happening and how the work helps grow your business. If the answers are fuzzy, the work usually is too.

Frequently Asked Questions About Working With Plumbing & HVAC Lead Rescue
What happens first when you work with Plumbing & HVAC Lead Rescue?
Once you become a client, we schedule an onboarding and strategy session to learn where your business is today, where you want it to go, which services matter most and how calls and quotes get handled now. We don’t touch your website, ads or automations until that’s done.
Will I get the same package as every other contractor?
No. Your plan is based on your business, your goals and the services included in your agreement, whether that’s generating more calls, following up on the ones you already get, or tracking what’s working.
What access will you need from me?
Depending on your plan, we’ll coordinate access to your website and domain, Google Business Profile, Google Analytics and Search Console, ad accounts, CRM or field service software, customer list and phone system, and collect your branding, photos, reviews and service information.
Do you work with Jobber, ServiceTitan or Housecall Pro?
If you use Jobber, ServiceTitan, Housecall Pro or another field service platform, we work out which information and integrations your setup needs during technical onboarding.
What is Mission Control?
Mission Control is our customer relationship management system. We configure it to manage new inquiries and handle follow-up like missed-call text-back, new-lead replies, quote follow-up, past-customer follow-up, review requests and lead tracking, depending on your plan.
What does my team still have to do once everything is running?
Your team answers incoming calls and inquiries, follows up with customers and quotes, approves ads and content, and keeps us posted on what’s happening in the business. We build and manage the system; your team works the opportunities it creates.
How will I know what you’re working on?
You should always know what’s been completed, what’s in progress, what’s performing well, where we see room to improve and what we need from you. We review performance and priorities with you as we go.
