Hiring a company to work inside your calls, customer messages, and follow-up process requires trust.
You should know what happens after the agreement is signed, who you will hear from, what we need from you, and when the first pieces will start working.
Here is the process as it actually works.
Step 1: Agreement, payment, and onboarding call
Once you decide to move forward, we send the agreement and initial payment link. We also schedule a 45-to-60-minute onboarding call, with the goal of holding that call within the next week.
You should not have to wonder whether anything is happening after you say yes.
Step 2: A personal welcome from Brandon
Brandon sends a welcome email and a short video recorded for you. He uses your name and company name, thanks you for the trust, and explains what to watch for next.
This is not an automated “Welcome, valued customer” message. You are working with the founders, and the relationship starts that way.
Step 3: The onboarding form
You receive a clear email with the next steps and a link to the onboarding form.
The form asks about the business, current phone and follow-up process, tools, website, locations, services, and how the team speaks to customers.
Complete as much as you can, but do not get stuck. Anything unclear can be worked through on the onboarding call.
Step 4: We learn how your business sounds
We ask for examples of real texts and emails between your team and customers.
Sheila uses those examples to build a voice guide for the system. The missed-call reply, quote follow-up, review request, and past-customer messages should sound like your company, not like every other HVAC business using the same software.
Step 5: The working onboarding call
The onboarding call is not a ceremonial welcome call. It is a working session.
We review the form, fill in missing information, talk through how calls and quotes are handled, confirm the access we need, and decide how the first pieces will fit into the business.
We also set communication expectations. Our standard is to reply within one business day, and we need timely answers from the client when information or approval is holding up the setup.
Step 6: The first quick wins
Our goal is to have the missed-call text-back and fast new-inquiry reply working within 48 hours of the onboarding call, as long as we have the access and information required.
We choose a local number that fits the company’s area and connect the system in a way that avoids disrupting the business’s existing marketing and phone setup.
These first pieces allow the company to start responding to missed calls and new inquiries while the rest of the system is being built.
Step 7: The rest of the Revenue Recovery System
From there, we build and test the parts that fit the business:
- Quote follow-up.
- Past-customer maintenance and seasonal follow-up.
- Review requests and private feedback.
- Call, quote, and job tracking.
- Notifications and handoff rules for the team.
Nothing goes live with customers until the wording and process are reviewed and approved.
Step 8: Early check-ins
We schedule check-ins around day 14, day 30, and day 45.
These conversations are used to review what is happening, adjust wording or timing, fix any gaps, and make sure the system fits the way the team actually works.
Step 9: Friday progress updates
During setup, clients receive a Friday update covering:
- What was completed that week.
- What we are working on next.
- What we need from the client to keep moving.
If a deadline is at risk, the client should hear it from us before they have to ask. We explain what happened, what we are doing, and when the next update is coming.
Step 10: Ongoing monthly conversations
After the early setup period, Brian leads the ongoing relationship calls.
The conversation covers what is happening in the business, what the system recovered, what may still be missed, upcoming seasonal needs, past-customer opportunities, and any changes that should be made.
The point is not to show off software. It is to make sure the system keeps helping the business.
What we need from the client
- Honest information about how the business currently works.
- Timely access, examples, and approvals.
- A willingness to try recommendations and give direct feedback.
- A real person who can respond when customer conversations need one.
- Communication that treats the relationship as a partnership.
Done for you does not mean done without you. We bring the system and experience. You bring the truth about the business.
The commitment
The initial commitment is 90 days. After that, service continues month to month.
The principle is simple: stay because the work is helping, not because a long contract has you trapped.
Nobody should have to chase us for an update or wonder what they are waiting for.
